I’ve condensed the club budget into a single page that anyone can read: revenue items on the left, expense items on the right, and the remaining balance at the bottom. During the first week of each month, this chart is posted on the club bulletin board and uploaded as a PDF to the school’s shared drive. Expense receipts are numbered and stored in the same folder; the receipt number is listed next to each line item on the chart. This way, the question “Where did the money go?” is answered at a glance, and no separate meeting is needed for an audit.

The root of the transparency issue is not record-keeping, but authority. I propose that every expenditure over 250 TL be jointly approved by the club president and the treasurer. Instead of using WhatsApp for approval, a single form will be used; the form is automatically entered into a spreadsheet, which is then made available to club members with view-only access. At the end of the month, the spreadsheet serves as a ready-made budget report. To avoid delays for small expenses, expenditures under 250 TL will continue to require only a single signature.

I propose forming a three-person audit team with one representative from each class. The team will meet twice during the term to count the slips and write a brief note. The note should be no longer than two sentences: what was checked, and whether there are any issues. No one reads long reports. The team members rotate each term, so the audit isn’t dependent on any one person, and many students learn how to review the budget.
